Admin and Documentation Executive

The Admin and Documentation Executive is responsible for managing and maintaining all documentation related to chemical manufacturing processes, safety protocols, compliance regulations, and quality assurance. This role ensures that all documents are accurate, up-to-date, and easily accessible to relevant stakeholders. The Documentation Executive also supports regulatory audits and inspections by providing necessary documentation and records.

Key Responsibilities :
  • Document Management:
  • • Develop, update, and maintain documentation related to chemical production processes, safety procedures, standard operating procedures (SOPs), and quality control.
  • • Ensure that all documents are properly filed, indexed, and archived in both physical and electronic formats.
  • • Implement and manage document control systems to ensure document integrity and security.
  • Compliance and Regulation:
  • • Assist in preparing documentation required for regulatory compliance, including safety data sheets (SDS), material safety data sheets (MSDS), and compliance reports.
  • • Stay updated on industry regulations and standards to ensure all documentation meets legal and regulatory requirements.
  • • Support preparation for audits and inspections by providing necessary documentation and addressing any document-related queries.
  • Quality Assurance:
  • • Coordinate with the Quality Assurance team to ensure that all quality-related documentation is accurate and reflects current practices.
  • • Track and report on document revisions, approvals, and changes to maintain version control.
  • Training and Support:
  • • Provide training and support to staff on proper documentation practices and the use of document management systems.
  • • Assist in the creation of training materials related to documentation and compliance.
  • Communication and Coordination:
  • • Collaborate with various departments including Production, R &D, and Compliance to ensure all documentation needs are met.
  • • Serve as a point of contact for document-related inquiries from internal and external stakeholders.
  • Record Keeping:
  • • Maintain accurate records of document revisions, approvals, and distribution.
  • • Ensure that all records are kept in accordance with company policies and legal requirements.
Qualifications :
  • Education
  • • Minimum an Undergraduate in Management Studies
  • Experience
  • • Previous experience (maybe required) in documentation management, preferably within the manufacturing industry.
  • • Familiarity with regulatory requirements and standards related to chemical manufacturing.
  • Skills:
  • • Strong organizational and time-management skills with attention to detail.
  • • Proficiency in document management software and Microsoft Office Suite (Word and Excel)
  • • Excellent written and verbal communication skills.
  • • Ability to work independently and collaboratively in a fast-paced environment.

Job Types: Full-time, Permanent, Fresher

Pay: ₹ 18,000.00 - ₹ 22,000.00 per month
